The Secret to a Great Profile

Posted by Drew Stoga on August 29, 2010

If you’ve just joined GigMasters, or if you’ve been a member for years and want more out of your membership, you’ve come to the right place. We know that you want quality leads and bookings and that’s exactly what we want for you too. In fact, everything we do at GigMasters is aimed at helping to make great matches between you, our members, and the 25,000+ party planning clients who visit our site every day.

The purpose of this article is to teach you how to:

  • Attract prospective clients to your Profile
  • Drive quality leads your way
  • Get you the bookings that you want

To help us get started, we asked GigMasters' Performer Advocate, Kelly Martin, to share with us all the best practices for getting a stand-out Profile that showcases your talents and services. Below, she walks through all of the elements of a great Profile.

An important thing to remember is that when people come to GigMasters, they’re looking for the entertainers or party vendors that will make their event a memorable success. These prospective clients browse the GigMasters search results and view the Profiles that grab their attention, and pass right by those Profiles that don't speak to them.

Remember, you’re making a first impression - so, the most important thing to do right after you sign up with GigMasters is to fill out your Profile as completely as possible! Always keep in mind that the client will view all of your information online, so you want your Profile to give them the best sense of what it’s like to experience your talent live and in person. By not having a complete, professional Profile you significantly decrease your chances of being contacted.

Follow Kelly's Profile “to-do” list and you’ll be well on your way:

1. Describe what you do and why you're great

One of the most important areas of your Profile is the “description.” You’re given a large amount of space (up to 5000 characters) to describe what you do and what makes you special, so go ahead and use it! Although there aren’t any standard rules about how to write your description, here are some tips and best practices–

  • Browse the GigMasters site for other Profiles in your category that have good descriptions. Especially look at 4 and 5-star performers – they must be doing something right!
  • Contrary to what you might think - the longer description, the better! Our data shows that 5-star performers have the longest descriptions. In fact they average about 500 more characters (approximately 80 more words) than 3-star performers. Sure, you could describe your services in a few sentences, but why sell yourself short?
  • The best descriptions are comprehensive, covering many areas including – a detailed description of your services, the packages you offer/different sets you play, who you’ve worked with, how you got started, and most importantly, what you do that sets you apart from the rest.
  • Be professional. Proper spelling and punctuation are key to appearing professional. So, make sure to ‘spell check’ your description before placing it in your Profile.
  • And please remember not to put any contact info in your description. If clients contact you around the GigMasters system, you'll have no way of tracking the leads and bookings that GigMasters sends your way and your rating will not improve.

2. Upload photos

They say a picture is worth a thousand words – and on GigMasters this couldn’t be more true. That’s why we allow each profile to have up to 25 photos. Add as many photos as you think tells the story of what you’re all about. Examples of the types of photos added by members are group shots, live performance photos, or even pictures of past clients enjoying your show or service.

Watch this video tutorial or follow these instructions to upload photos:

  1. Log into your Control Panel
  2. Go to the 'profile' tab
  3. Choose the 'Photos' option

Some helpful hints...

  • The first photo spot is for your thumbnail image, and will only appear in search results, not on the Profile itself. When choosing a photo for your thumbnail image please keep in mind that it will be very small (75 x 75), so you’ll want an image that is still recognizable in reduced size. It’s a good idea to first crop any area of the photo that doesn’t need to be in the photo before uploading, as this will help the image remain recognizable when the reduction in size occurs.
  • The second upload spot, is for the first photo on your Profile. It’ll be the first photo the client views, as it is on the left hand side next to some of the more important Profile information. It is also displayed larger than all other photos. Because of this, you should upload your favorite/best quality photo into the second photo spot.
  • Photos larger than 400 x 400 pixels will automatically be re-sized upon upload. Like with the thumbnail shot, if your photo is larger than the allotted size you may want to crop any area of the photo that doesn’t need to be there before uploading, to ensure that clients are able to clearly view what you want them to see.
  • All photo spots after will be displayed as thumbnails on the right hand side of your profile. If the client clicks on any of these images a photo gallery will pop up, in which they can browse all uploaded photos in a bigger size.

3. Upload audio

If you’re a musician, audio samples are a must! Without audio clients have no idea of your sound or your level of talent. Further adding several music samples will not only show off your diverse repertoire, it will increase your likelihood of getting contacted. So by all means, give yourself the best chance of being contacted by adding as many quality audio samples to your Profile as you can!

If you do not have a musical membership, please skip this tip. If you are a DJ you can upload any remixes you’ve made, but please DO NOT add copyrighted material to our site, for obvious legal reasons.

Watch this video tutorial of follow these instructions to upload audio samples:

  1. Log into your Control Panel
  2. Go to the ‘profile’ tab
  3. Choose the 'MP3 Samples and/or Video Samples' option
  4. Click on the link ‘click here to upload an MP3 or video’
  5. Click the ‘browse’ button to locate the file on your computer
  6. Write the name you’d like the file to be titled on your Profile under ‘Audio/Video title:’
  7. Click the ‘upload’ button

IMPORTANT TIP: The audio file must be in MP3 format in order to be loaded to your membership. Also keep an eye on how much space you have available for uploading audio/video files, which will vary depending on the level of membership you have. If you need to convert audio files to MP3, we suggest iTunes or YouConvertIt.com.

4. Upload video

Did you know that GigMasters members with video on their Profiles are four times as likely to get booked as those who do not? Needless to say, we strongly encourage all of our members to have a promotional video that showcases their talents and services.

Watch this video tutorial or follow these instructions to upload videos:

  1. Log into your Control Panel
  2. Go to the ‘profile’ tab
  3. Choose the 'MP3 Samples and/or Video Samples' option
  4. Click on the link ‘click here to upload an MP3 or video’
  5. Click the ‘browse’ button to locate the file on your computer
  6. Name the file under ‘Audio/Video title:’
  7. Click the ‘upload’ button

IMPORTANT TIP: The video must be in one of the following formats to be loaded to our site - WMV, MOV, AVI, MPG, MP4, FLV. If you have a choice the preferred file format is FLV, since all video files are automatically converted to FLV upon upload to our site. Again, you can use YouConvertIt to do your conversion. If you need help, please let us know.

5. Create a song list

If you’re a musician, impersonator or tribute act – a song list really helps clients see the range of material you cover. A DJ member could certainly use this, but it’s not completely necessary considering DJ’s typically have thousands of songs in their database, and can easily obtain a requested song if need be.

Adding a song list to your Profile is more important than you may think. Although clients will have the ability to see which styles of music you perform in other areas of your Profile, a song list will give them a definitive list of your repertoire. Some clients are looking for performers that can play certain songs. If they find your song list and see those song listed, you’re very likely to be contacted directly for a quote. So make sure you add every song you perform, and keep it updated!

GigMasters offers two ways to add your song list. You may add songs one by one, or as a complete list.

How to add songs one by one

  1. Log into your Control Panel
  2. Go to the ‘profile’ tab
  3. Choose the 'Song List' option
  4. Type the song title under ‘song title’
  5. Type the performer original artist under ‘original artist’
  6. If you have more songs than the maximum allowed, or are finished adding songs, click the ‘save’ button.
  7. If you’ve reached the maximum and would like to add more you’ll be given more space after you click the ‘save’ button. Repeat until finished.

How to add songs as a list

  1. Log into your Control Panel
  2. Go to the ‘profile’ tab
  3. Choose the 'Song List' option
  4. Scroll to the bottom of the page
  5. At the bottom of the song list page, click the link ‘To upload multiple songs at once’
  6. Place your song list into the open box.
  7. The information you enter must be in the following format: Song Title, Artist (be sure to include a comma between song title and artist name. And, remember that the song title and the artist name cannot contain a comma)
  8. Make sure that each song is on a separate line.
  9. When finished, click the ‘preview’ button at the bottom of the page
  10. If the song list appears correct, click the ‘click here ONCE to upload’ button

IMPORTANT TIP: Once you’ve finished adding your songs we can sort them alphabetically for you. The ‘to sort alphabetically by Song Title, click here’ button is located below the ‘save’ button. Make sure you’ve already saved your songs before clicking that link, or else the information you’ve entered will be erased.

6. Update your gig calendar

Make sure you keep your calendar up to date with upcoming gigs – you’re much more attractive to prospective clients when you demonstrate that you are active. Here are a few other practical reasons to update your calendar:

  • You won’t waste your time or the client’s time. A client will browse your calendar to see if you’re available for their event date. Being upfront with your availability will give the client the opportunity to continue with their search, instead of waiting for a decline bid from you.
  • You won’t get contacted for dates that you’re unavailable. By entering upcoming dates and marking them as ‘blacked out’ – clients will be unable to contact you for that date. This will reduce the number of leads we send you for which you’re not available.
  • You’ll save time. Fewer leads that you’re unavailable for means fewer declines.
  • You may increase opportunities for prospective clients to see you live. If you have any upcoming public performances, a client can check you out live. Many clients want to see a performer live before making their decision.

Watch this video tutorial or follow these instructions to add an event to your calendar:

  1. Log into your Control Panel
  2. Go to the ‘gig calendar’ tab
  3. Click the ‘add gig’ button
  4. Enter all necessary details (date, time, duration, venue, location ect.)
  5. Blackout the date, if you’re not able to work the remainder of this event day.
  6. Make sure the ‘Add this to my gig calendar. I don't want to pay the 5% booking fee ($20 minimum) and I don't want this gig to be applied towards my total bookings and rating’ option is selected.
  7. Click the ‘click here ONCE to add gig’ button at the bottom of the page

IMPORTANT TIP: Do not add a gig to your calendar if the client initially submitted the request through GigMasters. If the gig already has a gig number, you must confirm the booking using the original gig number. Confirming the original gig will automatically add the event to your calendar.
